This role supports internal operations at Sigma Software, ensuring smooth office administration and creating a productive, pleasant work environment. You will collaborate closely with HR, finance, and other departments to maintain high levels of organizational effectiveness, communication, and safety.

As part of the internal administration team, you will be responsible for managing office operations, vendor relations, budget control, and travel arrangements. The position plays a key role in supporting internal staff and ensuring operational excellence across the company’s locations.

  • Proven experience as Office Manager, Front Office Manager, or Administrative Assistant
  • Knowledge of office administration responsibilities, systems, and procedures
  • Proficiency in MS Office (Excel, Outlook)
  • Excellent time management, multitasking, and prioritization skills
  • Attention to detail and problem-solving abilities
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Creative mindset with ability to suggest improvements
  • Strong Intermediate English level or higher

  • Experience in multinational companies

Обов'язки

  • Organize office layout and order stationery/equipment
  • Maintain office condition and arrange necessary repairs
  • Organize office operations and procedures
  • Schedule meetings and appointments
  • Partner with HR to update and maintain office policies
  • Ensure timely invoicing and payments
  • Manage contract and price negotiations with vendors and service providers
  • Control office budget and ensure accurate reporting
  • Provide general support to visitors
  • Assist in onboarding new hires and coordinate employee gifts
  • Address employees’ queries regarding office management issues
  • Liaise with facility management vendors (cleaning, catering, security)
  • Plan and coordinate in-house and off-site activities (parties, celebrations, conferences)
  • Plan, book, and coordinate travel arrangements for colleagues and clients
  • Provide travel expense reports and recommendations for cost reduction
  • Maintain travel database of frequent travelers and suppliers
  • Perform other duties as reasonably assigned
